This Privacy Policy explains how The Scott Wallace Agency LLC ("The Scott Wallace Agency," "we," "us"), a Stratos Jets franchise, collects, uses and protects information through thescottwallaceagency.com and our charter services, including our text message programs.

1. Information We Collect

We collect information you provide directly to us, such as when you submit a quote request, contact us, or subscribe to our newsletter. This includes: name, email address, phone number, travel itinerary details, aircraft preferences, and any special requests. We also collect usage information automatically, including IP addresses, browser type, pages viewed, and referring URLs.

2. How We Use Your Information

We use your information to: respond to charter inquiries and provide quotes; process and fulfill charter bookings; send you empty leg alerts and newsletters (with your consent); improve our services and website; comply with legal obligations; and communicate important account and service updates.

3. Information Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. We share information with: aircraft operators and FBOs necessary to fulfill your charter; Stratos Jets (our franchisor) for booking coordination; service providers who assist in our operations (under strict confidentiality agreements); and law enforcement when required by law. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.

4. Text Messages (SMS)

If you opt in to a Scott Wallace Agency text message program, we collect your mobile phone number and a record of your consent, and use them only to send the messages you opted in to. Our charter quote and contact forms have two separate, optional boxes: one for service messages (charter quotes, booking confirmations, itinerary and day-of-travel updates, and customer service replies) and one for occasional promotional messages (charter offers and empty leg availability). We send promotional texts only to people who checked the promotional box. Consent to receive text messages is never a condition of any purchase or of employment. Message frequency varies and message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. Mobile information and SMS opt-in consent will not be shared with or sold to third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service, is permitted.

5. Business Information Lookup

When you submit a request using a work email address, we may send the domain of that address (for example, the "company.com" part, not your full address) to a business data provider to look up publicly available details about your company, such as its industry, size and location. This helps us prepare a more relevant quote before we speak with you. We do not send the domain of a personal email address, such as one ending in gmail.com or yahoo.com. We do not use this lookup to build a profile of you as an individual, and it never affects whether you receive marketing email, which is governed solely by the consent choice you make on our forms. You may ask us to delete any information obtained this way by contacting info@thescottwallaceagency.com.

6. Data Security

We implement industry-standard security measures including SSL encryption, secure servers, and access controls. However, no method of internet transmission is 100% secure. We encourage you to use strong passwords and protect your account credentials.

7. Your Rights and Choices

You have the right to: access the personal information we hold about you; request correction of inaccurate data; opt out of marketing communications at any time; request deletion of your data (subject to legal retention requirements). 8. Cookies and Tracking

We use cookies and similar tracking technologies to improve your browsing experience, analyze site traffic, and personalize content. You can control cookies through your browser settings. Disabling cookies may affect some website functionality. If you arrive from one of our ads or emails, we note the campaign tags on that link (for example utm_source) in your browser's session storage so that a form you submit later can tell us which campaign it came from. We never record the address of a private trip or proposal page this way, the note is cleared when you close the tab, and it is only sent to us if you submit a form. We also use two tools to understand who is interested in our services. HubSpot, our customer database, sets a cookie so that if you have already given us your email address, or you click a link in an email from us, your later visits to our public pages can be linked to your contact record. Apollo.io, a business data provider, may identify the company associated with the network you browse from; it does not identify you personally. Neither tool runs on private trip or proposal pages, and if your browser sends a Global Privacy Control signal, neither tool loads at all.

9. Data Retention

We keep charter inquiry, quote, booking and client records, including your text message consent and the consent wording you agreed to, for seven years after our last interaction with you, and then delete them, unless the law requires us to keep them longer. If you opt out of text messages, we keep a record of that opt-out so we can continue to honor it. You can ask us to delete your information sooner, as described in Section 7.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will post the updated policy on this page and change the "Last updated" date at the top. If we make a material change to how we collect, use or share your personal information, including your mobile number or text message consent, we will also notify you by email at the address you gave us. We will never begin sharing your mobile information or text message consent with third parties for marketing or promotional purposes; any new use of that information would require your new consent.
